Sometimes ready-made software doesn't fit the way your business works. That's when a custom system, web portal or mobile app makes sense. This guide helps you plan it so the project finishes on time and actually gets used.
Ready-made or custom?
Start with ready-made software when your needs are common (billing, stock, payroll) and you want to go live quickly. Choose custom when your process is your advantage, when you need to connect several systems, or when no product does what you need.
A good middle path is a ready-made system customised with the extra screens and reports you need.
Write down what you need
You don't need technical words. Write:
- Who will use it (cashier, rep, manager, customer)
- What each person does today, step by step
- The paper forms, books and Excel sheets you use now
- The reports the owner wants to see
- What must work offline or on a phone
Desktop, web or mobile?
- Desktop: counters and offices that must work offline, with printers and scanners
- Web: dashboards and portals opened from anywhere
- Mobile: reps, drivers and collectors in the field
Many businesses need all three working together, sharing one database.
Timeline and budget
Small systems take weeks; larger ones take a few months. Ask for the work to be split into stages, with something you can use at the end of each stage. Agree in writing what is included, what costs extra, and how changes are handled.
After go-live
Training, support and hosting matter as much as the build. Ask who you call when something breaks, how updates are done, and who owns the data.
